What GWP does with your personal data, written to match what the site actually does rather than what a template says.

Who is responsible for your data
Emerson Sullivan Ives, trading as Golf With Pros (GWP), is the data controller. You can write to us at 77 Broadley Drive, Torquay, Devon, TQ2 6UF, or email golfwithpros@gmail.com.
What we collect, and why
| What | When | Why we may lawfully hold it |
|---|---|---|
| Your name, email address and phone number | When you book a round or send a corporate enquiry | Contract — we cannot arrange a round without them |
| The booking itself: course, date, rough tee time, group size, round length and any notes you add | When you book | Contract |
| Your account: name, email, a one-way hash of your password, and a profile photo if you add one | If you create an account | Contract |
| For professionals: your club, region, hourly rate, PGA number if you give one, and your biography | When you complete a pro profile | Contract, and legitimate interests in listing you accurately |
| Payment confirmation — the amount, reference and outcome | When you pay | Contract and legal obligation (tax records) |
We never see your card details. Payment is taken by Stripe on their own pages. Your card number never reaches this website or our database.
We do not use your data for advertising, we do not profile you, and we do not sell or rent it to anyone.
Your booking is shared with your pro
This is the point of the service, so it is worth saying plainly. When you book, the professional you chose sees your name, email address, phone number, the course, the date and time, your group size and any notes you wrote. They need this to decide whether to accept and to meet you on the day. A professional you did not book sees nothing.
Who else processes it
| Who | What for |
|---|---|
| Vercel | Hosting this website and running its server functions |
| Nile (PostgreSQL) | The database holding accounts and bookings |
| Stripe | Taking card payments and issuing receipts |
| Web3Forms | Delivering booking notification emails to GWP |
| Resend | Sending password-reset emails, where configured |
| Google Fonts | Serving the typefaces. Your IP address reaches Google when a page loads |
| OpenStreetMap Foundation | Map images on your own bookings page. Your IP address reaches them when a map loads |
Some of these are outside the UK. Where they are, transfers rely on the UK extension to the EU Standard Contractual Clauses or an adequacy decision.
How long we keep it
- Bookings and payment records: six years after the end of the tax year they fall in, which is what HMRC expects of a sole trader.
- Your account: until you ask us to close it, plus 30 days.
- Enquiries that never became bookings: 12 months.
Your rights
You can ask us for a copy of your data, to correct it, to delete it, to restrict or object to what we do with it, or to have it sent to someone else. Email golfwithpros@gmail.com and we will answer within one month. There is no charge.
Deleting an account does not delete a booking we still need for tax records, but we will remove everything we are not required to keep.
If you are unhappy
Please tell us first. If we do not put it right, you can complain to the Information Commissioner's Office at ico.org.uk, or call 0303 123 1113.
Children
GWP is not intended for under-18s. A round for a junior golfer should be booked by a parent or guardian, whose details we hold rather than the child's.
Changes
If we change how we handle your data we will update this page and change the date at the top.
